Many schools still run on registers, receipt booklets and spreadsheets passed between the bursar and the head teacher. A good school management system removes that paperwork, but only if it fits how your school actually works. These are the questions worth asking before you choose one.
Does it handle fees the way your school does?
Fees are where most school software succeeds or fails. Check that the system can handle part payments, balances carried over from previous terms, optional fees such as transport or lessons, and clear receipts. The bursar should be able to see who owes what in seconds, not hours.
Can it produce report cards automatically?
Teachers spend days compiling results at the end of each term. Look for a system where scores entered once flow into report cards, class positions and broadsheets without retyping. Ask to see a sample report card in your school's own format.
Does everyone get the right access?
Administrators, bursars, teachers, students and parents each need different information. A well-designed system gives each role its own portal and hides what they shouldn't see. If one login can see everything, that is a risk to privacy.
Is your data kept separate and safe?
If the provider serves many schools, your school's records must be completely isolated from everyone else's. Ask how data is separated, how often it is backed up, and who can access it.
Will it work on the devices you have?
- It should work well on phones, not only on desktop computers
- It should load quickly on slow connections
- Parents should not need to install anything complicated
Finally, ask for training and support. Even the best system fails if staff are not confident using it. A short onboarding session at the start of term saves weeks of frustration later.
